Praetor ("we", "us") is committed to protecting your personal data. This policy explains what we collect, why, and your rights. It applies to this website and to our dealings with clients, prospective clients and suppliers.
What we collect
When you contact us or become a client we may hold: your name, job title, company, email address, phone number, premises addresses, and records relating to the services we provide (certificates, service history, correspondence). Through this website we collect only what you submit in the enquiry form and, if you consent, anonymous analytics data.
Why we process it
We process personal data to respond to enquiries, deliver contracted services, maintain statutory maintenance records, invoice, and meet our own legal obligations. The lawful bases are performance of a contract, legitimate interests in running our business, and legal obligation for records we must keep.
Who we share it with
We do not sell personal data. We share it only with service providers who help us operate (for example our form-handling and hosting provider, Netlify, and our accountants), with regulators where required by law, and, at your request, with third parties such as your insurer or freeholder when you ask us to send a certificate pack.
How long we keep it
Enquiry data that does not lead to a contract is deleted within 12 months. Client records, including certificates and service history, are retained for the life of the contract plus six years, reflecting limitation periods and the evidential value of fire safety records.
Your rights
You have the right to access, correct, erase, restrict and object to our processing of your data, and to data portability. To exercise any right, email info@praetor.co.uk. You can complain to the Information Commissioner's Office at ico.org.uk.
